Privacy Policy

Create Space is built on a simple promise: coach, not spy. This policy explains, in plain language, what personal data we collect, why, how we protect it, and the rights you have over it under India's Digital Personal Data Protection Act, 2023.

1. Who we are

Create Space ("Create Space", "we", "us", "our") provides a private, data-driven leadership-coaching service at createspace.in. We are based in India and act as a Data Fiduciary under the Digital Personal Data Protection Act, 2023 ("DPDP Act"). The service is founded and operated by Srivatsa Kadaba. Create Space is operated by Srivatsa Kadaba, sole proprietor (India). There is no separate corporate entity behind Create Space; Srivatsa Kadaba is the Data Fiduciary responsible for your personal data. A postal address is available on request at hello@createspace.in.

2. Scope: what this covers today

Create Space is in early access. This policy covers two things:

• This website. The only personal data we collect here is what you send us through our contact / early-access form, plus basic technical information every website receives.
• The Create Space desktop app, which is in limited early access and does record and analyse meetings today. It works differently from a normal web service, and the difference matters: your recordings, transcripts and coaching reports are stored on your own computer, not on our servers. Section 5 sets out exactly what leaves your device and what does not. You accept the app's terms and privacy notice inside the app before you record anything.

3. The data we collect

Information you give us (contact / early-access form): your name, email address, the area you're interested in, and any message you write.

Information collected automatically: basic technical and log data such as your device/browser type, approximate location inferred from your IP address, and pages viewed. If we use cookies or privacy-respecting analytics, we will disclose them here and, where required, ask for your consent.

In the desktop app: meeting audio you choose to record or upload; transcripts derived from that audio; and computed conversational-dynamics metrics such as talk/listen ratio, questions vs. telling, interruptions, and pauses. All of these are created and kept on your own computer. The app also generates a random device identifier, used only to count meetings against your trial allowance and not linked to your name or email.

4. Why we use it & our legal basis

We use your data only for the purposes we tell you about:

• To respond to your enquiry and manage early-access invitations;
• To provide the coaching insight you ask for (when app features are live);
• To operate, secure, and improve the service.

Under the DPDP Act, our legal basis is your consent, which you give by clear affirmative action (for example, submitting the form or opting in within the app). Your consent is limited to the purposes stated here, and you can withdraw it at any time — see Your rights.

5. Meeting audio & the "coach, not spy" promise

This is the heart of Create Space, so we want to be exact about it. In the desktop app:

• We keep the lesson, not the tape — and both live on your computer. Your audio is turned into a transcript and behavioural metrics ("the lesson"). The raw recording ("the tape") is deleted automatically, within 24 hours of the analysis being complete. Your transcripts and coaching reports stay until you delete them. We hold no copy of any of it — there is no Create Space server storing your recordings, so there are no backups of them to purge.
• Private to you. Your analysis is private to you as an individual. It is never shared with your employer, manager, or HR, and we do not sell your personal data.
• Other people in the meeting. A recording may capture voices other than yours. You are responsible for having the legal right and any necessary consent to record and submit a meeting, and for notifying participants where the law requires it. We process other participants' voices only to generate your private insight; we do not use them to build profiles of those individuals, and they are covered by the same deletion described above. • What actually leaves your device. Two things, each for a single request and neither retained afterwards: your meeting audio goes to a speech-to-text provider to produce the transcript, and the transcript (text only, no audio) goes to an AI provider to produce your coaching. The app also sends a scrubbed crash report if it crashes, and sends the device identifier and a meeting count to check your trial allowance. Nothing else leaves your computer.
• Service providers. Any speech-to-text or AI/cloud provider we use to process audio is bound by data-protection terms, is not permitted to use your audio to train its own models, and processes data only to deliver the service to you.

6. Comments and reactions on our Insights articles

Our Insights articles let you leave a comment and record a reaction. This section sets out exactly what happens to what you type. It is deliberately narrow.

What we store when you comment. Two things only: the display name you choose and the text of your comment, along with the date and which article it belongs to. That is the complete list.

What we do not store. We do not ask for or keep your email address. We do not store your IP address against your comment. We set no cookies for comments, and we use no third-party comment service — so nothing you write is passed to another company, sold, or used to build a profile of you.

Your name is published. Whatever you type in the name field appears publicly beside your comment. A first name or a pseudonym is perfectly acceptable; leave it blank and your comment is published as “Anonymous”. Please do not put contact details, personal information, or anything confidential about your employer into a comment — it is a public page.

Nothing appears until we approve it. Every comment is held privately until Srivatsa Kadaba has read it. We may decline to publish a comment, or remove one already published, at our discretion — for example if it is spam, abusive, or discloses someone else’s confidential information. Comments we decline are deleted.

Reactions are anonymous. The “this was useful” button increases a single number on our side. We do not record who pressed it. Your own browser remembers that you pressed it, using local storage on your device, purely so the page does not ask you twice. That value never leaves your device.

Spam prevention. To stop automated abuse, our server creates a one-way cryptographic hash of your IP address combined with a secret value, and counts how many submissions that hash has made today. The hash sits in a separate record that holds no comment text, cannot be linked to anything you wrote, cannot be reversed by us to recover your IP address, and is deleted automatically after two days.

Legal basis. Publishing your comment rests on your consent, given when you choose to submit it. Spam prevention rests on our legitimate interest in keeping the site usable.

How long we keep it. Published comments stay until you ask us to remove them or we withdraw the article. Declined comments are deleted. Spam-prevention hashes are deleted after two days.

Removing your comment. Email hello@createspace.in, telling us roughly when you commented and on which article, and we will delete it. You need not give a reason, and we will not ask you to identify yourself beyond what is needed to find the comment.

7. Who we share data with

We do not sell your personal data. We share it only with:

• Service providers who help us run the service (for example, hosting, email, transcription and analysis), under contracts that limit them to processing on our instructions;
• Legal / safety recipients where we are required by law, or to protect our rights and the safety of others.

8. How long we keep it

We keep personal data only as long as needed for the purpose it was collected, then delete it. In practice:

• Contact / early-access data: kept while we're in touch and for a reasonable period afterwards, then deleted within 24 months of our last contact (or sooner if you ask us to).
• Raw meeting audio: deleted automatically on your own computer, within 24 hours of the analysis being complete, as described in Section 5. We never hold a copy.
• Transcripts and coaching reports: kept on your computer so you can track progress, until you delete them or remove the app.

If you withdraw consent or ask us to delete your data, we will do so unless the law requires us to keep it.

9. Your rights

Under the DPDP Act you have the right to:

• Access a summary of the personal data we hold about you and how we process it;
• Correct, complete, update, or erase your personal data;
• Withdraw consent at any time — it is as easy to withdraw as it was to give, and we will stop further processing;
• Grievance redressal (see below), and to escalate to the Data Protection Board of India;
• Nominate another person to exercise your rights in the event of death or incapacity.

10. Grievance redressal

If you have a complaint about how we handle your personal data, please contact our grievance contact first so we can put it right:

11. Children

Create Space is a workplace tool intended for adults. It is not directed to anyone under 18, and we do not knowingly collect the personal data of children. If you believe a child has provided us data, contact us and we will delete it.

12. Security & breach notification

We use reasonable safeguards — including encryption in transit, access controls, and least-privilege practices — to protect your data. No system is perfectly secure, but if a personal-data breach occurs that is likely to affect you, we will notify affected users and the Data Protection Board of India as required, and act quickly to contain it.

13. International users

Create Space is operated from India. If you access it from elsewhere, you consent to your data being processed in India and by our service providers, under appropriate safeguards. Where we transfer data across borders, we use recognised protections such as standard contractual clauses. If you are in the EU/UK, you also have rights of access, rectification, erasure, restriction, portability, and objection, and may lodge a complaint with your local supervisory authority.

14. Changes to this policy

We may update this policy as the service grows or the law changes. When we make a material change, we'll update the "Last updated" date above and, where appropriate, tell you directly.
